Context of the Job:
Under the general direction of The Innovation Space leadership team and in close collaboration with the Laboratory Manager and Assistant Director, Research Facilities Operations, the Facilities Coordinator manages the day-to-day operations of the 130,000 ft2 research facility in support of client research and business operations as well as providing overall support to laboratory operations. Key responsibilities include management of day-to-day operations and maintenance tasks, coordination and tracking of customer work requests, scheduling and day-to-day oversight of 3rd party contractors working onsite, and oversight of material movement through the facility, while providing active stakeholder communication.
The Facilities Coordinator will be seconded from the University of Delaware to the Delaware Innovation Space and will receive day to day guidance from the Director, Operations of DISI and overall strategic guidance from the CEO/President of DISI as well as administratively from MariEileene Keane for UD specific matters.
Major Responsibilities:
- Maintains cleanliness and working order of shared facilities and lab equipment and space.
- Under the coordination of the Assistant Director, Research Facilities Operations, responds to service requests from residents.
- Contacts, schedules, and oversees vendors for laboratory equipment and facilities maintenance service requests as directed by the Assistant Director, Research Facilities Operations, and the Laboratory Coordinator.
- Performs routine building and laboratory condition walkthroughs.
- Track, schedule, and oversee materials procurement and 3rd party contractors as necessary to complete assigned maintenance and service requests.
- Manage inventory, delivery, and installation of compressed gas cylinders.
- Assist with scheduling, coordination, and field execution of facilities and laboratory projects.
- Coordinate general building activities and flow of material through the facility, including acting as the primary day-to-day point of contact for onsite shipping, receiving, and waste handling.
- Track, schedule, and perform routine operational laboratory tasks, including compressed gas cylinder changes, routine equipment cleaning, and 3rd party equipment vendor scheduling and coordination.
- Actively manages and communicates facility work request status and outlook to both internal and external stakeholders.
- Actively participates in the preparedness planning and response to various facility and EHS emergencies.
- Performs miscellaneous job-related duties as assigned.
Qualifications:
- High school diploma or GED and three years of job-related experience, or equivalent combination of education and experience.
- Ability to operate standard power-driven and hand tools safely and effectively.
- Ability to handle multiple assignments concurrently.
- Willing to work in a multi-structured environment, including daily facilities activities.
- Ability to communicate effectively with people of diverse backgrounds.
- Excellent attention to detail with focus on job completion.
- Flexible team player with effective interpersonal, communication, and customer service skills
- Strong affinity for scientists, innovators, and entrepreneurs.
- Ability to translate client needs into facility work orders and process in efficient and effective way.
Special Requirements:
- Ability to stand for extended periods of time.
- Occasionally may be required to lift, push, pull or maneuver moderately heavy objects (up to 40 pounds) during the workday
- Must be available during non-business hours to occasionally assist with special organizational events, building maintenance shutdowns, and off-hours emergencies and requests.
