Job Description
As a member of the Division of University Advancement, this position reports to the Senior Director for Advancement Services and serves as a steward of information pertaining to the development, donor, constituent, alumni, gift processing, special events, and communication activities of the Division by utilizing conventional reference and Internet based resources to research data discrepancies and perform high volume complex data entry. The candidate will display independent decision making, superior organization and strong attention to detail. Excellent communication skills, both verbal and written, are necessary. The ideal candidate should take ownership of tasks with focus and consistency, while being an adaptable supportive team member.
Responsibilities:
- Perform both routine and emerging data hygiene screenings and updates in Ellucian CRM related to alumni and donor biographical data
- Enter and create new constituent records into the database, linking records representing the same household
- Track and apply data updates received via surveys, return mail, academic departments, and other advancement activities to update constituent records
- Record data related to memberships and giving societies
- Create and maintain standard processes to update advisory board members and other affinity groups
- Update biographic and demographic data from various internal and external verification sources related to address, email, phone, employment, student and volunteer activities, family information, and more
- Record constituent communication preferences, unsubscribe data, and solicitation or appeal codes
- Record data related to donor recognition and stewardship such as event participation and naming opportunities
- Input, revise, maintain, store, and retrieve correspondence or data in electronic and/or paper files
- Provide outstanding customer service, responding to incoming requests from inside and outside the organization
- Serve as a member of the team that is responsible for retrieving the mail, logging and entering gifts daily
- Cross-train with and support Advancement staff as needed with general database upkeep – e.g. daily gift entry, daily/year end receipts production, etc.
- Develop and submit Annual Business Plan, identifying key metrics and milestones necessary to achieve annual goals
- Reviews data and pulls reports to utilize for proofing work and other decision making
- Organizes and completes assignments according to priorities and deadlines; Sets own priorities in accordance with team needs
- Recognizes and solves typical problems that occur in own work area without supervisory approval
- Provides solutions to problems in situations that are typical based on practice and existing precedents and escalates atypical occurring problems to supervisor/manager
- Maintain confidentiality regarding sensitive matters
- Perform other duties as assigned

Salary
Pay commensurate with education and experience.
Hiring Range: $15.75 – $19.24 Hourly
Grade: GGS-7
University Title: Advancement Associate I
Minimum Qualifications
An Associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- A bachelor's degree is preferred
- Proficient in use of Microsoft Office products, specifically excel
- Must have a high level of independence in accomplishing the responsibilities of the position
- Ability to read, analyze and interpret complex financial agreements and situations
- Ability to respond effectively to sensitive inquiries and complaints
- Ability to work independently while also working as a member of the University Advancement team
